An Installation Note is a document created to track the installation or setup of a product at the customer's location. It serves as a record of the installation process, including details such as the date, time, customer information, and any additional remarks. Installation Notes are particularly useful for businesses that offer installation services alongside product delivery.

How to Create an Installation Note in iVendNext

Creating an Installation Note in iVendNext is a straightforward process. Follow these steps to get started:


Step 1: Access the Installation Note List

  1. Go to Home > Stock in iVendNext.

  2. Under the Serial No and Batch section, click on the Installation Note shortcut.

  3. This will take you to the Installation Note List View screen.



Step 2: Create a New Installation Note

  1. Click on the Add Installation Note button to open the New Installation Note Creation screen.

  2. Fill in the required information, including the customer, item, and quantity. If the Installation Note is being created from a Delivery Note, click on the From Delivery Note button to fetch the details automatically.



Step 3: Add Installation Details

  1. The date and time will be automatically set to when the note is created.

  2. If the item is serialized, add the serial numbers in the Items table.

  3. Include any additional remarks about the installation process.


Step 4: Save and Submit

  1. Once all the details are filled in, click the Save button to create the Installation Note.

  2. You can also submit the note to finalize it.




Linking Installation Notes to Delivery Notes

In many cases, Installation Notes are created based on a Delivery Note. This ensures that the installation process is directly linked to the delivery of the product. Here's how to link an Installation Note to a Delivery Note:


  1. While creating the Installation Note, click on the From Delivery Note button.

  2. Select the relevant Delivery Note from the list.

  3. The customer, item, and quantity details will be automatically fetched from the Delivery Note.

  4. Proceed to fill in the installation details and save the note.




Best Practices for Using Installation Notes

To make the most of Installation Notes in iVendNext, consider the following best practices:


Always Link to Delivery Notes: Linking Installation Notes to Delivery Notes ensures that the entire process, from delivery to installation, is seamlessly tracked.


Use Serial Numbers for Serialized Items: If the product being installed is serialized, always add the serial numbers in the Installation Note. This helps in tracking the product post-installation.


Add Detailed Remarks: Include any additional information about the installation process, such as challenges faced, parts replaced, or customer feedback.

Let’s consider a real-world scenario to understand how Installation Notes work:


Scenario

A customer purchases an air conditioner from your store. The product is delivered, and a service technician accompanies the delivery to install the unit at the customer's location.


Process:

When an air conditioner is delivered, a Delivery Note is created to document the event. Following this, the service technician generates an Installation Note that is linked to the Delivery Note. In the Installation Note, the technician records key details including the installation date, time, and any relevant remarks about the installation process. If the air conditioner is serialized, its serial number is also added to the Installation Note. Once all information is entered, the Installation Note is saved and submitted, thereby creating an official record of the installation.
