This article will guide you through the key components of inventory management in iVendNext, including Stock Transactions, Warehouse Management, Batch and Serial Number Tracking, and Quality Inspection




1. Key Components of Inventory Management

1.1 Stock Transactions

Stock Transactions are the backbone of inventory management. They include Purchase Receipts, Delivery Notes, and Stock Entries, which help you track the movement of items in and out of your warehouses.


  • Purchase Receipts:


  • Purpose: Record the receipt of items from Suppliers.

  • How to Create:

    1. Navigate to Home > Stock > Purchase Receipt.

    2. Click on New to create a new Purchase Receipt.

    3. Select the Supplier and fetch items from the Purchase Order.

    4. Set the Accepted Warehouse and Rejected Warehouse for defective items.

    5. Save and submit the Purchase Receipt.



  • Delivery Notes:


  • Purpose: Record the shipment of items to Customers.

  • How to Create:

  1. Navigate to Home > Stock > Delivery Note.

  2. Click on New to create a new Delivery Note.

  3. Select the Customer and fetch items from the Sales Order.

  4. Set the Source Warehouse and To Warehouse for retaining sample stock.

  5. Save and submit the Delivery Note.



  • Stock Entries:


  • Purpose: Record internal stock movements, such as transfers between warehouses or adjustments.

  • How to Create:

  1. Navigate to Home > Stock > Stock Entry.

  2. Click on New to create a new Stock Entry.

  3. Select the Source Warehouse and Target Warehouse.

  4. Add items and quantities to be transferred or adjusted.

  5. Save and submit the Stock Entry.






1.2 Warehouse Management

Warehouse Management involves setting up and managing multiple warehouses to store your inventory. iVendNext allows you to define different warehouses for different types of items, such as raw materials, finished goods, or defective items.


  • How to Set Up Warehouses:


  1. Navigate to Home > Stock > Masters > Warehouse.

  2. Click on New to create a new Warehouse.

  3. Enter the Warehouse Name and select the Parent Warehouse if applicable.

  4. Set the Warehouse Type (e.g., Stores, Finished Goods, etc.).

  5. Save the Warehouse.


  • Key Features:


  • Multiple Warehouses: Manage inventory across multiple locations.

  • Warehouse Types: Define different types of warehouses for better organization.

  • Stock Levels: Track stock levels in real-time for each warehouse.




1.3 Batch and Serial Number Tracking

Batch and Serial Number Tracking allows you to track individual items or batches of items throughout their lifecycle. This is particularly useful for items with expiration dates or those that require traceability.


  • How to Enable Batch/Serial Number Tracking:


  1. Navigate to Home > Stock > Masters > Item.

  2. Select the item you want to track.

  3. Enable Batch Number Tracking or Serial Number Tracking in the item master.

  4. Save the item.


  • How to Use Batch/Serial Numbers:


  • Purchase Receipts: Enter batch or serial numbers when receiving items.

  • Delivery Notes: Enter batch or serial numbers when shipping items.

  • Stock Entries: Enter batch or serial numbers when transferring or adjusting stock.


  • Key Features:


  • Traceability: Track the movement of individual items or batches.

  • Expiry Management: Manage items with expiration dates effectively.

  • Quality Control: Ensure that only items with valid batch/serial numbers are shipped.




1.4 Quality Inspection

Quality Inspection ensures that the items you receive or ship meet the required quality standards. iVendNext allows you to set up quality inspection templates and record inspections for incoming and outgoing items.


  • How to Set Up Quality Inspection:


  1. Navigate to Home > Stock > Masters > Quality Inspection Template.

  2. Click on New to create a new template.

  3. Define the Inspection Criteria and Acceptance Levels.

  4. Save the template.


  • How to Record Quality Inspections:


  • Purchase Receipts: Record inspections for incoming items.

  • Delivery Notes: Record inspections for outgoing items.

  • Stock Entries: Record inspections for internal stock movements.


  • Key Features:


  • Customizable Criteria: Define your own inspection criteria.

  • Automatic Alerts: Receive alerts for items that fail inspection.

  • Compliance: Ensure compliance with quality standards.





2. Prerequisites for Inventory Management

Before you start managing your inventory in iVendNext, ensure that the following are set up:


  • Items: Add all the items you manage in your inventory.

  • Warehouses: Set up warehouses for storing your items.

  • Suppliers and Customers: Add your Suppliers and Customers to manage incoming and outgoing stock.

  • Quality Inspection Templates: Set up templates for quality inspections if required.




3. Key Features of Inventory Management

3.1 Real-Time Stock Tracking

iVendNext provides real-time tracking of stock levels across all warehouses. You can view the current stock levels, incoming stock, and outgoing stock at any time.


3.2 Stock Valuation

iVendNext allows you to value your inventory using different methods, such as FIFO (First In, First Out) or Moving Average. This helps you maintain accurate financial records.


3.3 Stock Reconciliation

Stock Reconciliation ensures that your physical stock matches the stock recorded in the system. You can perform periodic stock reconciliations to identify and correct any discrepancies.
