Streamlining Inventory Picking with Pick Lists

Streamlining Inventory Picking with Pick Lists

Overview

A Pick List is a document that outlines the items to be picked from inventory to fulfill one or more sales orders. This guide covers how to create, manage, and leverage Pick Lists for Sales Orders, Work Orders, and Material Transfers.

1. What is a Pick List?

A Pick List is a real-time inventory roadmap that:
Identifies item locations (Warehouse, Shelf, Batch)
Follows FIFO (First-In-First-Out) logic for stock rotation
Supports barcode scanning for error-proof picking
Links to Delivery Notes/Stock Entries for seamless fulfillment

Key Benefit: Reduces picking errors by 40% and speeds up warehouse operations.

2. How to Create a Pick List

Pick Lists can be generated from Sales Orders, Work Orders, or Material Requests.

2.1 From a Sales Order

  1. Navigate to Pick List Module:

  • Go to Home > Stock > Pick List > New.

  • Set Purpose = "Delivery".

  1. Link to Sales Order:

  • Click "Get Items" and select the relevant order.

  • The system auto-fills items and prioritizes warehouses (nearest expiry for batches).

  1. Review Item Locations:

  • Verify suggested warehouses or override manually.

  • For serialized items, assign specific serial numbers.

  1. Save & Submit.

2.2 From a Work Order (Manufacturing)

  1. Set Purpose = "Material Transfer for Manufacture".

  2. Select the Work Order and enter Finished Goods Quantity.

  3. The system calculates raw materials needed and suggests pickup locations.

2.3 From a Material Request

  1. Set Purpose = "Material Transfer".

  2. Link to the Material Request to auto-populate items.

3. Advanced Features

3.1 Barcode Scanning

Enable Scan Mode for hands-free picking:

  • Prompt Qty: Manually enter quantities per scan.

  • Auto-Increment: +1 per scan (default).

3.2 Dynamic Stock Updates

  • Update Current Stock: Refresh quantities if inventory changes pre-fulfillment.

  • Parent Warehouse Filter: Restrict picks to child warehouses only.

3.3 Batch/Expiry Prioritization

For batched items:

  • The system automatically selects batches nearing expiry.

  • Manual override available for exceptions.
