Manager Override: Ensuring Secure Transaction Approvals

Overview

This article gives you an overview of iVendNext's Manager Override feature, which adds control by requiring approval for sensitive POS actions like voiding sales or applying high discounts.




1. Understanding Manager Override

Key Scenarios Requiring Override:


  • Voiding or suspending transactions.

  • Applying discounts beyond cashier limits.

  • Accessing restricted reports (e.g., X-Z tape).


Role-Based Permissions:


  • Permissions are assigned via Retail Permissions (Home > Retail > Settings > Retail Permissions).

  • Example: Only managers can approve price overrides (see Transaction Rights tab).

2. Configuring Manager Override

Step 1: Assign Roles

  • Navigate to User Cards (e.g., assign Tony Stark as Manager, Pepper Pots as Cashier).

  • Image Suggestion: media/image10.png (Manager role assignment).


Step 2: Enable Permissions

  • Under Retail Permissions, enable:

    • Transaction Rights: Allow "Void Sale" for Managers.

    • Miscellaneous: Enable "Credit Limit Override."



Pro Tip: Set Upper/Lower Limits for discounts in Price and Discount Detail tab.





3. Using Manager Override at POS

Activating Override

  1. Cashier triggers an action needing approval (e.g., deleting a suspended sale).

  2. System prompts for manager credentials.

  3. Manager logs in via Miscellaneous > Start Manager Override.



Audit Trail

  • All overrides are logged in Manager Override Log (Home > Retail > Reports).



  • Click on the Log ID to view the details






4. Best Practices

  • Limit Override Duration: Auto-end overrides after sale completion.

  • Regular Audits: Review override logs weekly.

  • Training: Train managers on fraud prevention.
