Shift Management and Cash Control

Shift Management and Cash Control

Overview

Effective shift management and cash control are critical for retail operations. iVendNext provides robust tools to monitor cashier shifts, track float amounts, and ensure financial accountability. This guide covers setup, daily workflows, and troubleshooting for seamless shift operations.

1. Understanding POS Shift Profiles

A POS Shift Profile defines the rules for cashier shifts, including:

  • Starting float (cash in drawer at shift start)

  • Variance thresholds (allowed cash discrepancies)

  • Count requirements (mandatory cash reconciliation)

Accessing Shift Profiles

Navigate to: Home > Retail > POS Shift Profile

2. Key Shift Profile Settings

A. Float Amount

  • The initial cash was placed in the drawer at shift start.

  • Example: $100 in small bills for change.

B. Variance Allowed

  • Permissible difference between system-calculated and physical cash.

  • Best Practice: Set to 1–2% of expected daily sales.

C. Count Required on Shift Close

  • Forces cashiers to reconcile cash before ending a shift.

  • Use Case: Reduces theft or errors.

D. Warning & Lockout Levels

  • Warning: Alerts for minor discrepancies (e.g., $10 variance).

  • Lockout: Blocks POS access for major issues (e.g., $50 variance).

3. Daily Shift Workflow

Step 1: Opening a Shift

  1. The Cashier logs in and selects "Start Shift."

  2. System prompts for float amount (if not auto-filled).

  3. Cash drawer unlocks (if connected to hardware).

Step 2: Processing Transactions

  • All sales are tracked in real-time under the cashier’s shift.

  • Suspend/Recall: Pause transactions for later completion.

Step 3: Closing a Shift

  1. Select "Close Shift."

  2. Enter physical cash count (if required).

  3. System:

    • Compares actual vs. expected cash.

    • Flags discrepancies beyond Variance Allowed.

    • Generates a Shift Summary Report.

4. Common Scenarios & Solutions

Issue

Resolution

Cashier forgets to close shift

Enable Auto-Close Inactive Shifts in Retail Settings.

Cash variance exceeds limit

Investigate with Shift Journal Entries for audit trails.

Float amount mismanaged

Restrict float edits to managers via User Permissions.

5. Advanced Features

A. Partial Shift Cash-Outs

  • Withdraw excess cash mid-shift (e.g., for bank deposits).

  • Requires Reason Code (if enabled in Retail Settings).

B. Multi-Cashier Shifts

  • Assign secondary cashiers to a terminal.

  • Track individual sales via User-Based Reporting.

C. Safe Drops

  • Record cash moved to a secure location during the shift.

  • Reduces risk of theft.

6. Best Practices

  1. Regular Audits: Review shift reports weekly for patterns.

  2. Staff Training: Train cashiers on reconciliation steps.

  3. Hardware Checks: Ensure cash drawers/printers work before shifts.
